Cancellation & Refund Policy
This policy explains our cancellation, refund and amendment terms for travel arrangements booked with Union Holidays.
Union Holidays understands that travel plans can change. We aim to handle cancellations and refunds fairly and transparently while recognising that many travel services are reserved and paid for in advance with hotels and other service providers.
Standard Cancellation Charges
Unless different cancellation conditions have been specifically advised at the time of quotation or confirmation, the following charges will apply:
- More than 30 days before arrival: 10% of the total booking value
- 15–30 days before arrival: 25% of the total booking value
- 8–14 days before arrival: 50% of the total booking value
- Within 7 days of arrival: 100% of the total booking value
- No-show: 100% of the total booking value
Supplier-Specific Conditions
Certain hotels, resorts, airlines, train tickets, attractions, excursions and other services may have cancellation conditions that are stricter than the above.
Where such conditions apply, they will be communicated at the quotation or booking stage and those specific conditions will take precedence over the standard Union Holidays cancellation policy.
Peak-Season Bookings
Bookings during Christmas, New Year, Easter, festivals, special events and other high-demand periods may be subject to stricter cancellation and payment conditions imposed by hotels and service providers.
These conditions will be advised before confirmation.
Groups and MICE
Group tours, conferences, incentives and other large bookings may have individually agreed deposit, payment and cancellation conditions.
The terms stated in the relevant quotation, contract or confirmation will apply.
Non-Refundable Services
Certain services may be fully or partially non-refundable once confirmed, including:
- Promotional or special hotel rates
- Airline tickets
- Train tickets
- Attraction and event tickets
- Specially arranged transportation
- Certain excursions and activities
- Services requiring non-refundable advance deposits
Customers and travel partners will be informed of such conditions wherever applicable before confirmation.
Amendments
Changes to confirmed travel arrangements will be accommodated wherever possible and will be subject to availability.
Any additional charges or amendment fees imposed by suppliers will be payable by the customer.
Visa Refusal
Visa approval is outside the control of Union Holidays.
Normal cancellation conditions will therefore apply in the event of a visa refusal or delay unless the relevant hotel or service provider agrees to waive or reduce its cancellation charges.
We strongly recommend obtaining the necessary visa or travel authorisation before committing to non-refundable travel arrangements.
Early Departure and Unused Services
No refund will normally be provided for accommodation, transfers, tours, excursions, meals or other services voluntarily not used after commencement of the trip.
Where a supplier agrees to refund an unused service, Union Holidays will pass the recoverable amount to the customer after applicable charges.
Flight Disruptions
Where changes or cancellations arise due to airline delays, cancellations or schedule changes, Union Holidays will make reasonable efforts to rearrange the ground services.
Any additional cost or cancellation charge will depend on the conditions of the relevant service providers.
Force Majeure
Where travel arrangements are affected by circumstances beyond reasonable control, including natural disasters, severe weather, government restrictions, civil disturbances, strikes or similar events, Union Holidays will work with its suppliers to obtain the best possible solution.
Depending on supplier policies, this may include:
- Date changes
- Travel credits
- Alternative arrangements
- Partial refunds
- Full refunds where recoverable
Refund Processing
Approved refunds will be calculated after deducting:
- Applicable cancellation charges
- Non-refundable supplier payments
- Services already provided
- Bank, credit card or payment processing charges where applicable
Eligible refunds will normally be returned through the original method of payment.
Union Holidays will endeavour to process an approved refund promptly after the corresponding refund has been received or confirmed by the relevant service provider.
B2B Travel Partners
For bookings made through overseas travel agents, tour operators or other B2B partners, the cancellation conditions stated in the applicable quotation or booking confirmation shall apply.
The travel partner is responsible for communicating these conditions to the final traveller before confirming the booking.
Travel Insurance
We strongly recommend that all travellers obtain comprehensive travel insurance covering cancellation, medical emergencies and travel disruption.
Union Holidays reserves the right to apply specific cancellation conditions to individual bookings where these have been clearly communicated prior to confirmation.
